Team Travel
BBSEF Travel Policy
To provide transparency and greater predictability for members and staff, the Board of Directors of the Bogus Basin Sports Education Foundation (“BBSEF”) has adopted the following Travel Policy.
- Athletes age 14 and older are encouraged to participate in team travel (“Team Travel”). Team Travel includes transportation in a BBSEF vehicle driven by coaches, lodging as a team, and return travel to the Treasure Valley. This structure helps reduce costs for families and supports athlete development in independence, accountability, time management, equipment care, and organization.
- Team Travel expectations include:
- Athletes will share rooms with separate beds
- No possession or use of alcohol or drugs; athletes must comply with the BBSEF drug testing policy (see handbook)
- No visiting rooms of the opposite gender
- Coaches will communicate bed check and lights-out expectations
- Team Travel is not available to athletes under age 14. These athletes must travel with a parent or designated guardian. Exceptions may be made at BBSEF’s sole discretion for specific events.
- Athletes not participating in Team Travel must have travel and lodging arranged by a parent or guardian.
- Coaches may provide a general estimate of travel-related costs during fall meetings.
- Before each event or travel for training, coaches will confirm athlete participation and determine the mode of transportation (team travel or family travel). Participation information may be collected via a straw poll or AdminSkiRacing event registration.
- Coaches will submit finalized participation and travel details to the Program Director. The Program Director will coordinate team travel logistics, including lodging, transportation, and the administration of travel-related expenses. AKA - the Trip Fee or Coach Fee
- Families will be notified of the estimated Trip Fee or Coach Fee costs during the week of travel. Final charges will be billed on the day of departure.
- The Trip/Coach Fee includes coaches’ lodging, athlete lodging (Team Travel), per diem, transportation, and lift tickets (if applicable), and is shared among participating athletes regardless of travel method.
- BBSEF coordinates coach travel and lodging, with individual rooms typically provided. Coaches who are not assigned to transport or supervise athletes during Team Travel may travel and lodge independently unless otherwise required by BBSEF.
- BBSEF will provide information on event registration and lift ticket purchasing. Registration and lift ticket purchases are the responsibility of parents/guardians. Refunds for entries or lift tickets are subject to event or venue policies and are not managed by BBSEF.
- If an athlete withdraws after the Trip/Coach Fee is established and families are notified of the cost, families may remain responsible for their share of coach-related costs. Refund decisions will be made at BBSEF’s sole discretion, with consideration for fairness to the group.
- Coach wages for scheduled events are covered by team/program registration fees and are not included in Trip/Coach Fees.
- For additional or extraordinary events (including, but not limited to, national or international competitions), coach wages may be included as an additional expense for participating families.
- BBSEF will make reasonable efforts to coordinate with other programs, when appropriate, to help reduce overall costs to families.
